Events were canceled, travel suspended, meetings went virtual, and we learned how to work from home. These unprecedented times have definitely tested the “what doesn’t kill you makes you stronger” mantra, but the truth is, that statement couldn’t be more true. 3 Benefits Of A Copy Machine For Any Business

Whether your business is printing as usual, focused on reducing paper output, or working on going paperless altogether, there are several benefits that a state-of-the-art office copier can actually provide. REDUCE PAPER USE While it might sound contradictory, the correct office equipment purchase can actually assist in your attempts to reduce paper output or to go paperless altogether. Below are a few examples of how your copy machine can reduce paper use. SCAN TO EMAIL OR DIGITAL FOLDER With a multifunctional printer or copier, you can take a hard copy document and scan it as a digital document directly to an email address or digital folder. 3 Ways IT Helpdesk Services Can Help Your Business

IT helpdesk services are resources that can help your business with everyday IT and computer issues. They can be used to support a company’s current IT setup or as a standalone service to support your employees with day-to-day IT challenges. Generally speaking, helpdesk services are what help keep your employees functioning and efficient. They are a necessary resource for every size business. Here are three (3) ways outsourced IT helpdesk services can support your business: MUCH NEEDED SUPPORT FOR YOUR IN-HOUSE IT DEPARTMENT While many businesses maintain an in-house IT department, they can become very overwhelmed with increasing departmental demands. The influx of functions that fall within the IT wheelhouse can make it nearly impossible to keep up with the demand. Ultimately, this disables the ability of the employees to function efficiently. The core of a company’s network, security, software, website, office equipment, phone systems, and more fall within their realm of expertise. However, staffing needs to maintain all of these systems are very seldomly feasible for the average company. Moreover, this issue is magnified as the IT department burns out. Outsourced IT helpdesk services can alleviate some of the basic function of the IT department. This allows the team…

IT Services Your SMB Must Have

IT services are crucial to any sized business. Whether you realize it or not, no matter what size your business is, technology is the glue that holds it all together. From retail establishments that are dependent on an operational website, active social media accounts, and a point-of-sale and inventory system to businesses working in an office environment that require multi-functional copiers, data management systems, data security, billing software, phone systems and so much more, every single business relies on technology in many forms. When any of these functions stop working, businesses could be looking at down time that costs thousands of dollars in lost revenue, payroll, and emergency consultant fees. Because not every business is the same, not every business requires the same solution. In fact, if you are looking to outsource your IT services, make certain that you are working with a company that can customize a plan as opposed to providing a one size fits all solution. Regardless of the requirements, here are a few IT services that every business should make certain they have. For a comparatively minimal fee, these services can secure your data, provide support with a phone call, and give you the peace of…

Remote work technology support

In March, an onslaught of companies were forced to quickly devise a work from home strategy due to the restrictions put into place as a result of COVID-19. The lack of proper remote work technology may have restricted efficiencies in this environment. As of May, many states have begun to reopen non-essential businesses. But, according to many reports, a portion of those businesses will not be returning to the traditional office environment. Companies whose productivity was not impacted and who do not require face-to-face interaction on a regular basis will be exploring the option to save money on office space and/or provide a more flexible work schedule that will improve employee retention. As this new way of working takes shape and becomes a permanent solution to a pandemic problem, there are remote work technology tools that businesses need to implement to ensure that communication is seamless, and information is not compromised. Home offices will need to be equipped with technology that helps emulate and support an office environment. If you are considering a permanent work from home (WFH) resolution, we highly recommend integrating these office technology solutions: A Multifunction Printer or Copier Prior to COVID-19, most individuals just had an…

How to terminate your copier lease

While leasing office equipment can most definitely be the most advantageous option for a business based on the current financial situation, it's important to be fully aware of what that entails as the end of the lease approaches. Knowing how and when to terminate a copier lease agreement is the key to avoiding long term issues. If you're just starting the purchase process, read about the pros and cons of buying and leasing here. If you opt to lease your equipment, pay particular attention to the requirements of the termination clause. While lease termination language varies, copier lease agreements typically require notification be given to the lessor anywhere from 30 to 150 days PRIOR to the end of the lease term to confirm a buyout or a return of the equipment. If you miss this window, the lease could automatically renew for one year. This may continue until formal notification is made to terminate the lease. For businesses who are satisfied with their equipment, payment amount, and service, this may not be an issue. If that is the case, they may elect to continue with the terms of the lease as they exist. But for those companies whose equipment no…

What You’re Really Teaching Your Children During COVID-19

When we talk about these “unprecedented” times, we struggle to put a finger on what the totality of that actually means. We understand the tangible aspects of it – everything we know and love is temporarily shut down, we are unable to visit friends and family, and toilet paper is the new currency. What we can’t put our finger on are the intangibles. The emotions that we are dealing with as we take on the responsibility of working from home, renegotiating the bills, worrying about financial stability, the uncertainty of the future, not to mention the added responsibility of educating your children. As a parent, you probably wonder how you are going to get through this and if you will be able to give your children the tools they need to be successful. As a small, family-owned business who takes a personal interest in helping to develop our area’s youth, Ford Business Machines has recognized that what you are actually teaching them is something that can’t be found in a textbook. Something that we at Ford hold above all else. You are teaching them core values. Values that they will carry with them long after this crisis passes. Values that…

Common printer/copier lease mistakes

Leasing your copier or printer can make budgeting for a new machine a lot easier. However, you need to be aware of a few common copier lease mistakes that can cost your company unnecessary money throughout the course of your lease. These hidden costs can be tacked onto your lease payment without you even realizing it and add up very quickly. Insurance on a Leased Device This is a common practice. Everything is working great on your new machine, and the first invoice comes in $10-$25 higher than expected per device. Most businesses don’t question the payment and figure the difference is tax or other fees. But it is actually an unnecessary insurance charge that is already covered under your existing liability insurance policy. Avoid this common copier lease mistake by reviewing your first invoice with your vendor to clarify every charge. Shipping Fees It has become common vendor practice to build-in monthly shipping fees in order to recover out-of-pocket shipping expenses for toner replacement. While this may seem like a legitimate expense, it is only beneficial if you order toner once a month or more. If you do not, this charge then becomes an unnecessary expense that benefits the…

Is it better to lease or purchase your copier?

If you are a business owner or have buying influence in one, you have considered whether or not to purchase a copier or to enter into a lease. Based on your business structure, you will find there are pros and cons to both options. Pros of Buying Your Copier Purchasing a copier outright is cheaper in the long run. You can avoid paying finance charges, document fees, and administrative fees. For newer businesses who are still establishing their credit, you can also avoid a credit check and the need for credit approval from the leasing companies. Cons of Buying Your Copier Technology is rapidly changing and always evolving. In 5 years, your copier’s technology will be out of date and will have lost its value for resale. The substantial investment may make you hesitant to upgrade as technology calls for it. It will also begin to cost you additional money for service as the parts age and wear. Pros of Leasing Your Copier Companies that choose to lease are able to establish monthly payments. This makes budgeting for a new machine a lot easier. You will know what your payment is every month, barring any overages. At the end of…
